1. Introduction
apluskdesign respects your privacy and is committed to handling personal information responsibly, transparently and securely. This policy explains what information we collect, why we use it, how it is stored and shared, and the choices and rights available to you.
It applies to visitors to our website, people who contact us, clients who use our services, and individuals who submit agreements or other information through our website.
For personal information processed in operating apluskdesign, we generally act as the data controller. When managing websites or systems on behalf of clients, we may act as a data processor under the relevant client agreement.
2. Information We Collect
Depending on your relationship with us, we may collect:
- Contact information: Name, email address, telephone number, company name and professional role.
- Client and project information: Details needed to provide design, development, hosting, support and related services.
- Account and access information: Website, hosting or domain credentials provided where needed to manage services on your behalf.
- Billing information: Information needed for invoicing, payments and accounting.
- Client agreement information: Terms acceptance, electronic signature, acceptance date and related identification details.
- Website technical information: Information associated with website visits, security, performance and visitor journeys, as explained below.
We aim to collect only information reasonably necessary for the relevant purpose.
3. How We Use Your Information
- Respond to enquiries and communicate with clients.
- Provide, administer and support our services.
- Manage projects, contracts and client relationships.
- Record acceptance of business agreements.
- Process invoices and maintain accounting records.
- Maintain website security and reliability.
- Understand and improve website performance.
- Meet applicable legal and regulatory obligations.
Depending on the activity, our lawful basis may be performance of a contract, steps taken before entering a contract, compliance with a legal obligation, legitimate interests or consent. Where we rely on legitimate interests, we consider the necessity of the processing and its potential impact on individuals.
Consent to optional website technologies is separate from acceptance of our business terms.
4. Client Working Terms & Conditions
Clients may be invited to acknowledge our Client Working Terms & Conditions using an online agreement form.
The form may collect:
- First and last name.
- Email address and telephone number.
- Company or organisation name.
- Position or professional role.
- Confirmation that the client has read and accepted the terms.
- Electronic-signature acknowledgement and signature.
- Date of acceptance.
Purpose
This information is used to document, administer and maintain evidence of the contractual relationship between the client and apluskdesign.
Storage and notifications
Agreement submissions are stored within our WordPress website using Forminator. An email notification containing submitted information is also sent to apluskdesign. Access to agreement records is restricted to authorised personnel.
Retention
We retain agreement records throughout the relevant contractual relationship and, where necessary, for an appropriate period afterwards to meet legal, accounting or contractual obligations or address potential disputes. Records are periodically reviewed and securely deleted when no longer required. This arrangement is separate from the retention of website consent-decision evidence.
5. Website Analytics and Performance
apluskdesign uses Journey Analytics, a first-party WordPress website performance and visitor-journey analytics system. Journey Analytics helps us understand how visitors find and use the website, which pages receive attention, how visitors move through the website and whether meaningful website goals are completed.
The system operates independently of a Google Analytics account. Website activity may include technical and behavioural information associated with visits or sessions. We use this information to understand and improve our website and services, rather than to directly identify individual visitors. However, first-party analytics information may still constitute personal data depending on the information collected and how it is used.
We review the technologies and information involved in analytics processing. Where prior consent is required, the relevant technology should not be activated until the visitor has made an appropriate choice.
6. Cookies and Browser Storage
Cookies and similar browser-storage technologies may be used to operate website features, maintain security, remember preferences or support optional services.
Essential technologies
These support necessary website functions, security, administration and other essential operations.
Optional technologies
Some analytics, marketing or third-party services may require additional browser storage or access to information on a visitor’s device. Where consent is required, these technologies should remain inactive until the visitor has made an appropriate choice.
Browser and device-specific choices
Privacy preferences are generally remembered in the browser and device on which they were made. A choice made in one browser is not automatically transferred to another browser or device. If you use private browsing, clear your browser storage or change devices, you may be asked to make your choice again.
Browser settings may also allow you to restrict or remove cookies and other stored information, although doing so may affect some website features.
7. Consent Management and Decision Evidence
apluskdesign uses its own Consent plugin to manage relevant website privacy choices. Where optional services requiring a choice are configured, visitors may be offered the opportunity to accept, reject or manage those services.
Consent may retain pseudonymous or anonymous browser-context evidence of decisions and changes to those decisions, including:
- The previous and new consent states.
- The consent wording version.
- The applicable privacy policy version.
- The time the decision was recorded.
- A browser-context identifier used to associate relevant consent transitions.
These records support accountability and help demonstrate how privacy choices were handled. They are not intended to directly identify individual visitors.
Evidence retention
Consent is currently configured to retain decision evidence for 24 months, with automatic housekeeping to remove records reaching the configured retention boundary. This is an operational retention setting, not a claim that 24 months is universally required by law.
Consent-decision evidence is separate from identifiable client agreement and contractual records. Where a visitor has previously made a choice, Consent may remember that choice. A fresh decision may be requested when relevant changes require it.
8. apluskdesign Products and Connected Services
apluskdesign develops WordPress software, including Journey Analytics, Consent, SOS and other products. Some products operate independently on the website, while others offer optional connections to apluskdesign services.
SOS and Geneva
SOS provides a locally prepared Critical Error Page when WordPress encounters certain supported failures. Its core visitor-facing functionality does not require an external apluskdesign account or a Geneva connection.
If an authorised administrator chooses to connect SOS to Geneva, limited technical and operational information may be exchanged, including:
- Website URL and installation identity.
- Product name and version.
- WordPress and PHP environment information.
- Connection and compatibility information.
- Applicable service terms version and acceptance details.
This information supports the connected product relationship and related operational functions. Routine SOS/Geneva communication is not intended to transmit visitor analytics, visitor cookies, website credentials or unnecessary fatal-error diagnostic information.
Other apluskdesign products and integrations may have different information requirements. These should be explained where applicable.
9. Sharing Information
We do not sell personal information. Where necessary to provide our services, information may be shared with relevant service providers, such as hosting companies, email providers, payment processors, technical support providers and other authorised processors.
We take reasonable steps to ensure providers handle information appropriately and that relevant contractual and security safeguards are in place. Where information is transferred outside the UK, we consider applicable international-transfer requirements and safeguards.
10. Information Security
We use technical and organisational measures appropriate to the information being processed, which may include access controls, secure connections, security monitoring, software maintenance, backups and restricted administrative access. No internet-connected system can be guaranteed completely secure.
We periodically review our security arrangements and the information retained in our systems.
11. How Long We Keep Information
Retention depends on the purpose and applicable obligations.
- Client and project information: Retained during the relationship and afterwards where reasonably necessary for contractual, operational or legal purposes.
- Accounting records: Retained according to applicable tax and accounting requirements.
- Client agreements and signatures: Retained during the contractual relationship and for an appropriate period afterwards where justified.
- Consent decision evidence: Currently retained for 24 months.
- Website performance evidence: Retained according to the applicable analytics configuration and data-management arrangements.
We periodically review retention and remove information when it is no longer required.
12. Your Data Protection Rights
Under applicable UK data protection law, you may have rights to:
- Request access to your personal information.
- Request correction of inaccurate information.
- Request erasure in applicable circumstances.
- Restrict or object to certain processing.
- Request data portability where applicable.
- Withdraw consent where processing relies on consent.
These rights are subject to relevant legal conditions and exceptions. To make a request, contact support@apluskdesign.com.
You may also raise concerns with the UK Information Commissioner’s Office at ico.org.uk.
13. External Websites
Our website may link to websites operated by other organisations. Those websites are responsible for their own privacy practices. We recommend reviewing their privacy information before providing personal details.
14. Changes to This Policy
We review this policy when changes to our website, services, technologies or information-processing activities make an update appropriate. Material changes may result in a new policy version and, where necessary, a renewed visitor privacy choice.
The current policy version and review date will be shown on this page.
